Position: Student Assistant

Department: Wichita State University Foundation – Finance and Operations 

Pay: $10.25

Hours: 6+ hours per week: Tuesday and Thursdays, with Alternate Fridays

Primary Function: The Student Assistant will play a crucial role in maintaining smooth office operations by providing Front Desk coverage during the receptionist's lunch and afternoon breaks. Additionally, the incumbent will offer vital administrative support to the Finance and Operations Team, ensuring the completion of daily tasks. Responsibilities also include Accounts Payable data entry, inventory management, projecting a professional image, and addressing other duties as assigned.

Key Responsibilities:

  1. Front Desk Coverage:
    • Provide coverage during the receptionist's lunch and afternoon breaks.
    • Greet and assist visitors, ensuring a positive and professional experience.
  2.  Accounts Payable:
    • Review requisitions for required documentation and follow up on exceptions.
    • Enter requisition information into a financial database.
  3. Administrative Support:
    • Assist the Finance and Operations Team with various administrative tasks.
    • Handle correspondence, document preparation, research, and data entry as needed.
  4. Inventory Oversight:
    • Manage and oversee office and other supply inventory levels, ensuring accuracy and organization.
    • Coordinate with relevant departments to track and replenish supplies as necessary.
  5. Professional Image:
    • Project a professional and welcoming image at all times.
    • Uphold a high standard of customer service and interpersonal communication.
  6. Additional Responsibilities:
    • Other duties or projects assigned by the supervisor.
    • Collaborate with team members to contribute to the overall success of the department.

Qualifications:

  • High school diploma or equivalent; additional administrative experience is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in basic office software (e.g., MS Office suite).
  • Ability to maintain confidentiality and handle sensitive information.
