Event Planning and Alumni Engagement Student Assistant

The Dorothy and Bill Cohen Honors College is seeking an undergraduate student assistant for event planning and alumni engagement, along with general office support. This position supports external industry and community engagement goals and has primary responsibility for assisting with college event planning and alumni outreach.  Position is supervised by the Administrative Specialist and Support to Dean. Experience with event planning required. Also must have strong verbal and written communication skills and ability to exercise discretionary judgment regarding student information and dean’s office communication. 

Event Planning and Alumni Engagement Responsibilities include:

  • Assist with all aspects of event planning, logistics, and timelines 
  • Establish and manage event schedule, backwards plan, and task deadlines
  • Coordinate amenities, accommodations and/or production of materials and resources for events
  • Adhere to event budget and/or maintain financial information
  • Communicate effectively with Administrative Specialist and other event managers
  • May conduct post-event evaluations
  • Manage college LinkedIn and other alumni communication under the direction of the Administrative Specialist or Dean
  • Identify alumni outreach needs and propose initiatives to enhance alumni connections
  • May support student organization event planning and engagement
  • Share information and work collaboratively with the social media and digital media student assistants

General Office Responsibilities include:

  • General reception including greeting guests, answering questions in-person, over the phone, and via email
  • Understand the resources available in the Cohen Honors College and direct students, staff, and faculty to appropriate resources or people within the office
  • Manage the student study area, printer and lounge
  • Manage minor supply orders
  • File, copy, scan documents
  • Assist with classroom setup and media support
  • Conduct data entry and records
  • Exercise discretionary judgment regarding student information and dean’s office communication
  • Other duties or special projects as assigned by office staff

Required Qualifications:

  • Experience with event planning
  • Ability to work collaboratively in an office environment
  • Ability to have a creative eye for improvements
  • Ability to follow through with instructions and assignments in a timely and professional manner
  • Ability to prioritize multiple tasks 
  • Ability to take initiative
  • Willingness to learn and take on challenges
  • Strong interest in customer service to present a positive image of the Honors College and the University
  • Strong verbal and written communication skills

Preferred Qualifications:

  • Experience working with MS Office applications including Teams, Word, and Excel
  • Experience using Canva or similar design software
  • Honors or Honors-eligible student with knowledge of Honors College resources

Hours per week: A student who works in the Cohen Honors College is expected to work 15-20 hours per week.

Schedule Information: Morning shift: 8am-12pm | Afternoon shift: 1-5pm (schedules can be flexible)
